Summer Placement’s Terms & Conditions

This is an agreement between Camps Canada s.P. registered under the law of Ontario, Canada and APPLICANTS NAME, In relation to the application process on booking a summer camp placement at Camps Canada’s affiliated summer camps in Canada. This contract is to be governed by the laws of Ontario. Any dispute must come to Ontario courts.

• APPLICANT _ Person interested in becoming a PARTICIPANT
• PARTICIPANT_ Person who will be performing the SERVICE. The applicant understands that Camps Canada, as an international organization is linked into two regulations, and two different laws.
• CAMPS CANADA S.P_ Performing the promotional & application process administration of APPLICANT’s application, to handle it until an agreement is signed between Camps Canada affiliated camps and the APPLICANT.
Camps Canada S.P is solely a contractor for Camps Canada affiliated camps (Provider of the service). Camps Canada S.P. provides promotion and application process services only, This agreement, and Camps Canada S.P responsibilities are limited to the promotional, interviewing and application process only, and it is not linked in any way with the actual service to be contracted between the APPLICANT and Camps Canada affiliated camps; under their own rules, terms & conditions; under the law of the corresponding country of placement. Camps Canada S.P has no representations and warranties about Camps Canada affiliated camps programs.
This is not an Agreement with Camps Canada affiliated camps. (Provider of the service).
• APPLICANT agrees to the disclosure of information as on the Privacy Policy stating.
• Upon accepting the placement offer, a contract will be arranged between the APPLICANT and one of Camps Canada affiliated camps. Camps Canada S.P. will automatically be excluded of all liability.

• Must commit all financial responsibilities in order to become Participant.
• Will file in, signed proof of acceptance of placement.
• Participant will be required to enter Canada with a working holiday Visa or special permit participant might require to show if requested by the Border Authorities, according to the participants nationality and status.
• Agrees to complete all visa requirements including attending personal interview at the Selected Country Embassy or Consulate at own expense in accordance with the instructions thereof and to be responsible for obtaining for APPLICANT a valid passport at least three months prior to departure and to comply with all vaccination and immunization requirements.
• Deposit. > Substantial expenses are incurred by Camps Canada S.P. while an application is considered by Camp Directors. If applicant withdraws following a placement offer, APPLICANT will forfeit the Deposit Payment. (At Camps Canada’s discretion exceptions may be made in some cases of illness or medical incapacity as confirmed by a medical certificate.)
• Payment not subject to refund. Unless Camps Canada S.P. is unable to extend a placement offer to the APPLICANT.
• All participants should be aware that Camps Canada charges a fee in respect to the costs associated with organizing the program. This fee is to be paid by the Applicant and is charged in all circumstances without exception and applies equally to returning participants.
• When a camp is found to match APPLICANT’S availability and interest, Camps Canada will inform the APPLICANT via any online communication system immediately, and you will then be required to pay in full the fee published on the web site and provide Camps Canada S.P. with all the required documents. The fee includes a compulsory medical insurance premium. Cancellations at the point of participation must be notified immediately and cannot be inferred by non-payment of the fees.
• Complete all payments and financials according to Camps Canada S.P. procedures.
• Amount due> Remaining of the Fee. Along with proof of signed acceptance to the Specific Camp’s own terms & Conditions. And waiving Camps Canada S.P of all responsibilities.
• Applicants must also agree to the specific camp’s terms and conditions, in order to participate in the camping program.
• Air transportation into CANADA on the appropriate day and time is sole responsibility of each participant. All air fare transportation costs will be paid fully by the PARTICIPANT.
• Understand_ that applying does not guarantee a placement.
• Abide the application rules.
• Agree to the disclosure of information as on the Privacy Policy stating.
• Warrant that ALL information provided in the application procedure by you is honest and accurate and agree that you will perform your camp counselor duties to the best of your ability. Providing false or misleading information about any matter will lead to cancellation from the program.
• Consent to participant´s personal information being held, processed and disclosed by Camps Canada both within and outside Canada.
• PARTICIPANT understands that data will be transferred both electronically and by physical means between offices employees, government departments and will have supplied this information for the purpose of seeking a position on the program. For the purposes of this clause personal data includes but is not limited to all information supplied on application forms, telephone or person to person conversations, medical forms and criminal record check ups.
• PARTICIPANT waives and release Camps Canada S.P. and its affiliates, agents and employees from any claims whatsoever arising from any injury, loss, damage, accident, delay, or expense resulting from events beyond control, including without limitation: Acts of God, acts of war, strikes, incidents of politically motivated violence, terrorism, sickness or quarantine, government restrictions or regulations, and, in the absence of gross negligence (or negligence in the case of personal injury) arising from the use of any vehicle or from any act or omission by any agent or employee or guests of the participating camp, individual, firm, or company in relation to transportation to, from and within Canada. or another facility or service organized on participants behalf.
• Understand that Camps Canada s.P. in Canada does not own or in any way assume responsibility for the operation of the summer camps. The administration and management of each camp is solely responsibility of its proprietor(s) and/or director. As a consequence, Camps Canada s.P., cannot, and does not, accept liability for any decisions, actions or omissions of whatever nature made by or on behalf of the proprietors and/or directors, staff or members of the camps.

2. Interview
Once our selection committee has reviewed your application, you will be contacted by email to set up an interview.
(the interview will be face-to-face, via telephone, or video conference depending on your location)

3. Placement Offer
Upon a successful interview & a second review of your profile, a placement offer package will be sent to you, You will have 21 days in order to confirm your participation, by sending us back the signed agreement and required documents.

PAYMENT On Line _ All payments can be made via pay pal at the webpage.

Important: Getting your profile accepted does not guarantee you will get a placement offer. Booking a Camps Canada program by paying the deposit, does not enrolls you automatically into the program.
• If a placement offer is not extended to the applicant, he / she will be informed as soon as possible and have the Deposit Payment refunded no later than October 31st.
• A completed application will be submitted to the Selection Committee, located in Ottawa, ON, for initial screening. Once an application has been checked and accepted by Camps Canada _Canada office, you will be advised via our on line system that your application has been shown to Camp Directors. At the same time we will confirm the total cost of your camp participation. Once the camp directors manifest acceptance of your participation at their camp, you will receive a participation offer through our Canadian office. At this stage you will be required to submit all required documents, as well to make the Deposit payment (see website for specific amounts, timelines & Payment methods).
• If your payment is not received within 30 days after your acceptance of the participation offer, your application will be withdrawn from the program.
• Late applications will only be accepted for specific reasons and never later than May 30th.
Camps Canada may refuse to accept an application, or may reject an application at any stage of the process given a valid reason.

• If THE APPLICANT fails to participate in the program for any reason except medical incapacity (as confirmed by a medical certificate and at Camps Canada’s discretion), the deposit payment and medical insurance surcharges will be forfeit. Penalties are necessary because of the expense of interviewing, matching applicants with open spots at different camps and general administrative costs involved with the program´s management and organization. Camps Canada must be informed immediately of all cancellations.
• It is the duty of every Camps Canada PARTICIPANT to comply with the requirements of the medical policy and behavior management standards as informed by Camps Canada staff. Failure to comply with these guidelines will be reason to expel the misbehaved participant from the program; without any reimbursement of the paid fee.
• Failure to disclose relevant information or to complete the required paperwork at the appropriate time can lead to termination from the application process and / or program and forfeit of all payments made.
• Applicants should be aware that all refund claims should be submitted in writing by July 3rd. No further claims will be accepted after this time.

• Agree to be present in good time for all flights or other transportation.
• Agree that hostile or aggressive behavior by applicants will result in immediate cancellation from the program and the forfeiting of all payments.
• Agree to abide by all lawful rules and reasonable regulations of Camps Canada contained herein and of the camp in which you are placed.
Agree to participate for the elected period at the camps assigned.
• Agree to abide by all Legal and Internal regulations as well as instructions of the Canadian Government, including returning home no later than five months after entry to the Canada.
• Agree to carry out the duties and other responsibilities within the camp to the best of participants ability and with due respect and to take full responsibility of own actions at all times in accordance with the rules and guidelines set out by the Camps Canada staff and any other such as program brochures, handbooks, website and stipulations on these terms & conditions.
• Understand and acknowledge that you are not an employee or agent of Camps Canada or any affiliate thereof and agree not to make any representations to any third party or employee of the participating camps to that effect. You understand that you are a cultural exchange visitor and a camper of those camps to which you are assigned.
• Understand that Camps Canada DOES NOT provide any sort of flight, and that parent of participant is fully responsible for any air transportation.

•Applicant releases Camps Canada S.P. from any claims whatsoever arising from any injury loss, damage, accident, delay or expense, resulting from events beyond control, including but without limitation: Acts of God, acts of war, strikes, politically motivated violence, terrorism, sickness, quarantine, government restrictions, or regulations.
• Camps Canada S.P. gets excluded from what could happen at the actual camp and camp program provided by Camps Canada, such as> Delays, Accidents, Robbery and even death of THE PARTICIPANT
• Applicant releases Camps Canada from any claims whatsoever arising from any injury loss, damage, accident, delay or expense, resulting from events beyond control, including but without limitation: Acts of God, acts of war, strikes, politically motivated violence, terrorism, sickness, quarantine, government restrictions, or regulations.
• Having completely checked the website information, please discuss with your interviewer any medical problems that you have or have had in the past which may affect your chances of participating on the program. Failure to disclose relevant medical information at the earliest opportunity is grounds for dismissal from the program. Any deposit payments already made will be forfeited, and our medical insurance policy rendered invalid. Please note that pre-existing medical conditions may not be covered by Camps Canada’s insurance provider, and participants may be required to buy a supplementary Non-Camps Canada policy at their own additional expense to ensure they have sufficient coverage for program participation.
• Even after going through an interview and being accepted as a participant for the program and during the program length it remains your responsibility to inform the Camps Canada office in writing of any material changes to your medical circumstances.
Camps Canada reserves the right to vary, delay or cancel your participation should your medical circumstances deteriorate between the time of your application and the date that you are due to depart for Canada.
• In accordance to Camps Canada´s internal bylaws and its insurance provider policies: In return for a medical coverage payment we arrange for insurance to cover medical treatments up to $50,000 (semi private room only). Participants pay the first $1,000 in respect of each separate sickness or injury. Pre-existing conditions are not covered by Camps Canada.
• Parent and participant understand that Camps Canada or its affiliates or agents may, without liability, or expense to themselves take whatever action they deem appropriate with regard to participants health and safety and may place in a hospital for medical services and treatment or, if no hospital is readily available, may place you in the hands of a local medical doctor for treatment.
