Camper’s Terms & Conditions


CAMPS IN CANADA registered under the law of Ontario, Canada,

Registrant or Legal Guardian’s NAME (if applicable) as minors cannot create binding contracts.

In relation to the registration process on booking a summer camp placement at any camp program offered, run and managed by Camps in Canada’s partner summer camps (Hosting Camps) across Canada.
This registration form and its corresponding process for Registrants will be valid as a pre-booking contract and is to be governed by the laws of Ontario.
Any dispute resulting on the registration process must come to Ontario courts.

Registrant _ Person interested in becoming a PARTICIPANT
PARTICIPANT_ Person who will be receiving the SERVICE.
LEGAL GUARDIAN_Person in charge of any under age Registrant.
Responsible for creating a contract with CAMPS in CANADA & Camps in Canada’s partner camps (Hosting Camps).

  • The Registrant and legal guardian understand that Camps Canada, as an international organization is linked into two regulations, and two different laws. Therefore, Camp Canada Structures itself into two operational business offices:
    Camps in Canada’s partner camps (Hosting Camps). _ as providers of the promoted program as announced by CAMPS IN CANADA
  • CAMPS IN CANADA _ Performing as the promotional & registration process administration of the Registrant’s registration- in charge of handling it until an agreement is signed between Camps in Canada’s partner camps (Hosting Camps) and the Registrant and or LEGAL GUARDIAN.
  • Camps in Canada is solely a contractor for Camps in Canada’s partner camps (Hosting Camps – Providers of the service). CAMPS in CANADA provides promotion and registration process services only.
  • This agreement, and Camps in Canada responsibilities are limited to the promotional, interviewing and registration process only, and it is not linked in any way with the actual service to be contracted between The Registrant and/or LEGAL GUARDIAN and Camps in Canada’s partner camps (Hosting Camps), under their own rules, terms & conditions.
  • Camps in Canada has no representations and full warranties about Camps in Canada’s partner camps (Hosting Camps) programs.
  • This is not an Agreement with Camps in Canada’s partner camps (Hosting Camps)  Providers of the service.
  • Registrant agrees to the disclosure of information as on the Privacy Policy stating.
  • Upon completing the registration process, a contract will be arranged between Camps in Canada’s partner camps (Hosting Camps)_ and the Registrant.
  • CAMPS in CANADA will then automatically be excluded of all liability, during the Registrant´s participation in the program.
  • Agrees to be present in good time for all flights or other transportation.
  • Agrees that hostile or aggressive behavior by Registrants will result in immediate cancellation from the program and the forfeiting of all payments.
  • Agrees to abide by all lawful rules and reasonable regulations of Camp Canada contained herein and of the camp in which you are placed.
  • Agrees to participate for the elected period at the camps assigned.
  • Agrees to abide by all Legal and Internal regulations as well as instructions of the Canadian Government, including returning home no later than the visa granted.
  • Agrees to carry out the Camper duties and other responsibilities within the camp to the best of participants ability and with due respect and to take full responsibility of own actions at all times in accordance with the rules and guidelines set out by the Camp Canada staff and any other such as program brochures, handbooks, website and stipulations on these terms & conditions.
  • Understands and acknowledge that you are not an employee or agent of Camp Canada or any affiliate thereof and agree not to make any representations to any third party or employee of the participating camps to that effect.
  • You understand that you are a cultural exchange visitor and a camper of those camps to which you are assigned.
  • Understands that Camp Canada DOES NOT provide any sort of flight, and that parent of participant is fully responsible for any air transportation.

  • The Legal Guardian must present proof of legal guardianship.
  • He/she will commit all financial responsibilities.
  • File in, signed proof of relationship and or guardianship to THE PARTICIPANT.
  • Participant will be required to enter Canada as a tourist and must verify beforehand if any Visa or special permit participant might require to show if requested by the Border Authorities, according to the participants nationality and status.
  • Deposit. > Substantial expenses are incurred by Camps in Canada while an registration is considered by Camp Directors. If Registrantt withdraws following a camp placement offer, Registrant will forfeit the Deposit Payment. (At Camp Canada’s discretion exceptions may be made in some cases of illness or medical incapacity as confirmed by a medical certificate.)
  • Payment not subject to refund. Unless CAMPS in CANADA is unable to extend a placement offer to the Registrant.
  • All participants should be aware that Camp Canada charges a fee in respect to the costs associated with organizing the registrant future participation in the selected program. This fee is to be paid by the Registrant and/or Legal Guardian of the applying camper and is charged in all circumstances without exception and applies equally to returning participants.
  • When a camp is found to suit your availability and interest, Camp Canada will inform you via our online communication system immediately, and you will then be required to pay in full the fee published on the web site and provide our Canadian office with all the required documents.
  • Your final group of payments includes a compulsory medical insurance premium.
  • Cancellations at the point of participation must be notified immediately and cannot be inferred by non-payment of the fees.
    Amount due> Remaining of the Fee. Along with proof of signed acceptance to the Specific Camp’s own terms & Conditions. And waiving Camps in Canada of all responsibilities.
  • Registrants and Legal Guardian must also agree to the specific camp’s terms and conditions, in order to participate in the camping program.
  • Complete all payments and financials according to CAMPS in CANADA procedures.
  • Air transportation from within or elsewhere overseas into CANADA on the appropriate day and time is sole responsibility of each participant´s parent. All air fare transportation costs will be paid fully by participant parent or guardian.
  • Agrees to complete all visa requirements including attending personal interview at the Selected Country Embassy or Consulate at own expense in accordance with the instructions thereof and to be responsible for obtaining for Registrant a valid passport at least three months prior to departure and to comply with all vaccination and immunization requirements.
  • Understands that applying does not guarantee a placement.
  • Abide the registration rules.
  • Agrees to the disclosure of information as on the Privacy Policy stating.
  • Warrants that ALL information provided in the registration procedure by you is honest and accurate and agree that you will perform your camper duties to the best of your ability.
  • Understands that providing false or misleading information about any matter will lead to cancellation from the program.
  • Consent to participant´s personal information being held, processed and disclosed by Camps Canada both within Canada. Parents understand that data will be transferred both electronically and by physical means between offices employees, government departments and will have supplied this information for the purpose of seeking a position on the programs offered by Camps Canada’s partner camps (Hosting Camps) and handle the file while the extension of duration of the program. For the purposes of this clause personal data includes but is not limited to all information supplied on registration forms, telephone or person to person conversations, medical forms and criminal record check ups.
  • Parent waives and release Camp Canada and its affiliates, agents and employees from any claims whatsoever arising from any injury, loss, damage, accident, delay, or expense resulting from events beyond control, including without limitation: Acts of God, acts of war, strikes, incidents of politically motivated violence, terrorism, sickness or quarantine, government restrictions or regulations, and, in the absence of gross negligence (or negligence in the case of personal injury) arising from the use of any vehicle or from any act or omission by any agent or employee or guests of the participating camp, individual, firm, or company in relation to transportation to, from and within the Canada or another facility or service organized on participants behalf.
  • Unexpected costs incurred into by the participant. Parent of the participant accepts to compensate Camp Canada for any such unexpected costs covered to attend specific needs of the participant. Even after participation has been completed.
  • Under the basis of a compensation payment, parents will be awarded a money request attached to a corresponding invoice for those unexpected costs incurred by Camp Canada in order to support certain specific situation regarding participant´s given specific situation.
  • Parent agrees to reimburse Camp Canada, or the summer camp in which participant is placed for any expenses incurred by Camp Canada or anyone else in taking any action reasonably considered necessary in the interests of participants health and safety, if not covered by the medical insurance policy. If deemed desirable by Camp Canada or its agents, parent authorizes to transport participant back to the country of origin at your parent´s expenses.
  • Understand that CAMPS in CANADA does not own or in any way assume responsibility for the operation of the summer camps. The administration and management of each camp is solely responsibility of its proprietor(s) and/or director. As a consequence, CAMPS in CANADA, cannot, and does not, accept liability for any decisions, actions or omissions of whatever nature made by or on behalf of the proprietors and/or directors of the camps.
  • Parent and Participant understand that the responsibility of the camp towards the participant is limited to supervising and guidance during activities, housing, 3 meals a day, program activities.

  • Read ALL the information regarding Camp Canada program (including the Frequently Asked Questions section as well as the Terms & Conditions,
  • Once you are sure this program suits your interests; access the Online Registration Form.
    You will be contacted by email to set up an interview.(the interview will be face-to-face, via telephone, or video conference depending on your location).
  • Upon a successful interview & a second review of your profile, a camper package will be sent to you,
    You will have 21 days in order to confirm your participation, by sending us back the signed agreement and required documents.

    • Copy of your valid passport
    • Signed acceptance of the Terms & Conditions
    • Copy of Plane Ticket
    • Total Fee payment

  • All instructions and contacts between Camps Canada and the Registrants must be expected to be visiting, web site for online access to news, announcements and management of registration.
  • Communication systems include in person, telephone, via authorized agents and all communications via online systems.
  • Important: Getting your profile accepted does not guarantee you will get a camping placement offer.
  • Booking a Camps Canada program by paying the deposit, does not enrolls you automatically into the program. In case a camping placement offer is not extended to the Registrant, he / she will be informed as soon as possible and have the Deposit Payment refunded no later than October 31st.
  • A completed registration will be submitted to the Selection Committee, located in Ottawa, ON, for initial screening.
  • Once your registration has been checked and accepted by Camp Canada office, you will be advised via our on line system that your registration has been shown to Camp Directors.
  • At the same time we will confirm the total cost of your camp participation.
  • Once the camp directors manifest acceptance of your participation at their camp, you will receive a participation offer through our Canadian office.
  • At this stage you will be required to submit all required documents, as well to make the Deposit payment (see website for specific amounts, timelines & Payment methods).
  • If your payment is not received within 30 days after your acceptance of the participation offer, your registration will be withdrawn from the program.
  • Late registrations will only be accepted for specific reasons and never later than June 30th.
  • Camp Canada may refuse to accept a registration, or may reject an registration at any stage of the process given a valid reason.

  • If the Registrant fails to participate in the program for any reason except medical incapacity (as confirmed by a medical certificate and at Camp Canada’s discretion), the deposit payment and medical insurance surcharges will be forfeit.
  • Penalties are necessary because of the expense of interviewing, matching registrants with open spots at different camps and general administrative costs involved with the program´s management and organization. Camp Canada must be informed immediately of all cancellations.
  • It is the duty of every Camps Canada participant to comply with the requirements of the medical policy and behavior management standards as informed by Camp Canada staff.
  • Failure to comply with these guidelines will be reason to expel the misbehaved participant from the program; without any reimbursement of the paid fee.
  • Failure to disclose relevant information or to complete the required paperwork at the appropriate time can lead to termination from the registration process and / or program and forfeit of all payments made.
  • Registrant should be aware that all refund claims should be submitted in writing by September 30th of the current year. No further claims will be accepted after this time.

  • Registrant and legal guardian releases CAMPS in CANADA from any claims whatsoever arising from any injury loss, damage, accident, delay or expense, resulting from events beyond control, including but without limitation: Acts of God, acts of war, strikes, politically motivated violence, terrorism, sickness, quarantine, government restrictions, or regulations.
  • CAMPS in CANADA gets excluded from what could happen at the actual camp and camp program provided by Camps in Canada’s partner camps (Hosting Camps), such as: Delays, Accidents, Robbery and even death of THE PARTICIPANT.
  • Registrant and legal guardian releases CAMPS in CANADA from any claims whatsoever arising from any injury loss, damage, accident, delay or expense, resulting from events beyond control, including but without limitation: Acts of God, acts of war, strikes, politically motivated violence, terrorism, sickness, quarantine, government restrictions, or regulations.
  • Having completely checked the website information, please discuss with your interviewer any medical problems that you have or have had in the past which may affect your chances of participating on the program.
  • Failure to disclose relevant medical information at the earliest opportunity is grounds for dismissal from the program. Any deposit payments already made will be forfeited, and our medical insurance policy rendered invalid.
  • Please note that NO medical conditions will be covered by Camps in Canada’s partner camps (Hosting Camps) insurance providers.
  • Participants ARE required to individually acquire a supplementary travel insurance policy at their own additional expense to ensure they have sufficient coverage during program participation and their full stay in Canada.
  • Even after going through an interview and being accepted as a participant for the program and during the program length it remains your responsibility to inform the Camp Canada office in writing of any material changes to your medical circumstances.
  • Camp Canada reserves the right to vary, delay or cancel your participation should your medical circumstances deteriorate between the time of your registration and the date that you are due to depart for Canada.
  • In accordance to Camp Canada´s internal bylaws and its partner camps (Hosting Camps) insurance providers policies:
    • In return for a medical coverage payment some camps arrange for insurance to cover medical treatments up to $50,000 (semi private room only).
    • Participants pay the first $10,000 in respect of each separate sickness or injury.
    • Pre-existing conditions are not covered by Camps in Canada’s partner camps (Hosting Camps) insurance policies.
    • Parent and participant understand that Camp Canada or its affiliates or agents may, without liability, or expense to themselves take whatever action they deem appropriate with regard to participants health and safety and may place in a hospital for medical services and treatment or, if no hospital is readily available, may place you in the hands of a local medical doctor for treatment.
